In large enterprises handling extensive user manuals, documentation, training materials, content indexes, and knowledge bases, digital content security is crucial.
This guide is designed to help businesses and large enterprises understand and implement documentation security best practices for WordPress. And how admins/moderators can improve security by restricting access to the knowledge base.
Understanding the Basics of Document Security:
Documentation security involves safeguarding digital assets, preventing unauthorized access, and ensuring the confidentiality of information.
In large enterprises, where vast amounts of critical data are stored, understanding the basics of data security is crucial.
WordPress, being a popular content management system, requires careful consideration of security measures. While the core WordPress does not come with any security measures, we can easily configure it with additional security layers using plugins & best practices.
Large businesses must recognize the significance of data security practices to protect valuable assets from potential threats and data breaches.
Websites that host publicly available product documentation, knowledge bases, training materials, etc. often deal with numerous users having access to their data.
Implementing strong password policies and role-based access control helps regulate who can access what, minimizing the risk of unauthorized entry.
A quick tutorial on ‘How to Create Password-Protected’. This video showcases the easiest way to ensure documentation security.
Encouraging users to create and maintain strong passwords adds an extra layer of defense against unauthorized access.
External users & visitors often dismiss the importance of using strong passwords. This is a well-documented cause leading to misuse of user accounts by bad actors, data breaches, user accounts being hacked, malware injunctions, and so on.
Choose complex passwords of 12+ characters with special characters, numbers, and symbols like “bL@ckC@tPaws5!” or use a password manager for easier creation and secure storage. Update them regularly and explore resources on security best practices to fortify your online defenses.
Whether a large enterprise or a small public online library, not all users require access to every knowledge base item. Role-based access control ensures that individuals only have access to the data necessary for their roles, limiting potential security vulnerabilities.
A knowledge base tool like EazyDocs simplifies user role management and data access control, ensuring users only see information relevant to their roles.
Now that we’ve highlighted the basic necessity, let’s delve into solutions. Introducing EazyDocs, a comprehensive documentation management plugin designed for creating, managing, and enhancing on-site hosted documentation and various types of data.
EazyDocs addresses the unique security needs of extensive data libraries by integrating all the necessary tools directly.

This section provides a step-by-step guide on how to configure EazyDocs for creating password-protected & internal documentation. Learn how to set up the plugin to align with your enterprise’s document security requirements.
First, download and activate the EazyDocs plugin by heading over to WP Dashboard Plugins Add New and searching for the EazyDocs plugin.
Secondly, to get the security features, purchase the EazyDocs premium version, starting at $49 per year. This will unlock the following security features: (private/internal, password-protected doc).
To activate the password-protected doc head over to the EazyDocs dashboard and click on the ‘’Visibility’’ icon.
Now, a prompt will display the ‘Visibility Options.’ To create password-protected documentation, just choose the ‘Password‘ option, input your password, and click ‘Update.’
That’s it – your password-protected document is now created, and it’s as simple as that.
Note: Users can also secure individual documentation pages by clicking on the desired page, hovering over it, and clicking the ‘Visibility‘ icon. The subsequent steps remain similar to the process outlined earlier.
The process of creating internal documentation is very similar to creating password-protected docs using EazyDocs. Before we proceed, let’s set up how our internal document will respond in the event of an unauthorized user attempting to access it.
Navigate to WP Dashboard EazyDocs Settings Private Doc . In this section, users have the option to redirect visitors to different pages based on their preferences.
The ‘Visibility Mode’ feature allows you to choose whether to redirect to an Error 404 page, the login page, or any other published page.
Next, users can select which user roles are allowed to access from the ‘’Restrict Access to’’ option.
Users can either allow all logged-in users or select between these user roles (administrator, author, contributor, subscriber, and editor).
To create internal documentation, click on the ‘Visibility Options‘, select the Private doc options, and press Update. That’s it your internal documentation has been created.
Note: Users can grant access to multiple roles. And make sure to click ‘Save’ to apply your changes.
Mastering data security in WordPress for large businesses and enterprises requires a comprehensive strategy.
This involves understanding the basics, exploring real-world applications, leveraging tools such as EazyDocs, and actively promoting security awareness. Through these practices, enterprises can establish a strong defense against potential threats.
